A visible word is not always stored as text

A PDF can show a page of writing while containing only a photograph of that page. Another PDF can contain actual text objects, or an invisible OCR text layer behind the scan. Looking at the page does not reliably distinguish these cases. Try selecting and copying a short sentence in a trusted PDF reader as a first check.

PDF text extractor reads the existing text layer. It does not recognize letters inside page images. When extraction returns only page separators or an empty result, that can indicate an image-only scan. The correct next operation is OCR, rather than repeating the same text extraction settings.

Extract a small sample first

Choose an unprotected PDF, confirm its page count and enter a page range. Begin with one page containing typical content. A single-column paragraph is a useful starting point; a multi-column research page or complex form needs more careful review.

The tool adds page separators to help you trace the text back to the source. These are navigation aids, not original document content. Copy the result into an editor or download the TXT file, then compare names, dates, numbers and paragraph order with the actual PDF.

  1. Check whether text can be selected in the source.
  2. Extract one or two representative pages.
  3. Compare reading order and line breaks.
  4. Expand the range only after that sample looks useful.
  5. Keep the PDF alongside the text while proofreading.

Expect layout to change

PDF stores drawing and text-positioning instructions rather than a guaranteed stream of paragraphs. A line of text may be split into several objects. Columns, footnotes, tables and headers can therefore appear in an unexpected order when extracted. A TXT export cannot preserve the original page design.

For a two-column page, read down the left column in the original and compare the extracted sequence. If the result jumps between columns, manually reorganize it or use a specialized document-layout workflow. For a table, confirm each value stays associated with the correct label before importing it into a spreadsheet.

Use OCR for page images and verify its guesses

For a scan, render the needed PDF page as a clear image, then use Image to text. Choose the relevant supported language and inspect the OCR output. Blur, skew, handwriting and decorative type can produce errors. A larger image can help only when the source actually contains the detail.

The extractor supports up to 100 selected pages per operation, with file and device-memory limits. It processes text locally, but that does not make an unreviewed transcript reliable. Searchable text is convenient for notes and accessibility workflows; it still needs human checking before quotations, records or important numerical decisions. Store the source and corrected transcript as separate files so later readers know which is authoritative.
